IT management software pricing compared (2026)

Remote-support and RMM pricing is a maze of per-technician, per-endpoint and tiered models. This guide explains how each works so you can compare tools on true cost, not sticker price.

The two pricing models that matter most

Most of the confusion comes down to how a tool charges you:

Per technician

  • You pay for each technician/seat
  • Usually unlimited devices
  • Great value when few techs manage many devices
  • Example model: Atera

Per endpoint / device

  • You pay for each managed device
  • Cost scales with fleet size
  • Better value when you have many techs but fewer devices
  • Example model: NinjaOne, Datto RMM

Finding your break-even point

The key number is your device-to-technician ratio. Roughly:

  • High ratio (few technicians, many devices) → per-technician pricing usually wins.
  • Low ratio (many technicians, few devices) → per-endpoint pricing usually wins.

Always model your own numbers. A 500-device fleet managed by 3 technicians looks very different under each model than a 50-device estate managed by 10.

Typical pricing structures by tool type

Tool typeCommon modelWhat to watch for
Remote desktop (AnyDesk, TeamViewer, Splashtop)Per licensed user / concurrent session, tieredConcurrent-session limits; commercial-use rules; feature gating by tier
All-in-one support (GoTo Resolve, Zoho Assist)Free tier + tiered paid plansWhich features are gated to the top tier; device caps on free plans
RMM (NinjaOne, Datto, N-able)Per endpoint, usually via quoteAdd-on costs (backup, EDR); annual commitments; quote-only opacity
RMM+PSA (Atera)Per technician, unlimited devicesValue flips if you have many techs and few devices

Hidden costs to budget for

  • Add-ons: backup, endpoint detection & response (EDR), mail security and advanced reporting are often extra.
  • Annual vs monthly: many vendors discount annual commitments but lock you in.
  • Onboarding/training: complex platforms (N-central, Datto) take time to deploy.
  • Tier jumps: the feature you need may sit one expensive tier up.
  • Overage: exceeding device or session limits can trigger charges.

How to compare fairly

  1. List your real requirements (attended? unattended? patching? ticketing?).
  2. Count your devices and technicians to find your ratio.
  3. Price each shortlisted tool for your numbers, including needed add-ons.
  4. Check the "as of" date on any pricing — it changes often; confirm on the vendor's site.
  5. Factor in the free tier or trial to test before committing.

A note on figures: vendor pricing changes frequently and several RMMs are quote-only, so we deliberately focus on models rather than quoting dollar figures that would go stale. Always confirm current pricing directly with the vendor.

Frequently asked questions

Is per-technician or per-endpoint pricing cheaper?

It depends on your device-to-technician ratio. Per-technician (unlimited devices) is cheaper when few techs manage many devices; per-endpoint is cheaper when you have many techs and fewer devices.

Why do RMM vendors hide their pricing?

Many RMMs price via custom quote because deals vary by endpoint count, add-ons and commitment. Expect to talk to sales, and get competing quotes to compare.

What hidden costs should I watch for?

Add-ons (backup, EDR, mail security), annual lock-ins, onboarding/training time, tier jumps for a single feature, and overage charges for exceeding limits.

Which tools have a free tier?

GoTo Resolve and Zoho Assist offer free tiers for basic use; AnyDesk, TeamViewer and Splashtop are free for personal/non-commercial use. Most RMMs offer trials rather than free tiers.
